Refunds, cancellations, and deposits
These rules apply to professional audit engagements invoiced by Schema Signal Hub. They do not describe retail goods, shipping, or an online checkout — this site does not take payment.
How fees are taken
After a scoping call we send a quote. Work is usually secured with a deposit of thirty percent of the quoted fee, invoiced in Malaysian ringgit. The balance is invoiced when the pack is delivered, or on the date named in the quote if you delay close-out. Bank transfer details appear on the invoice. We do not process cards on this website.
When a full refund applies
If you cancel in writing before we have been given access (test accounts, VPN, or equivalent) and before any walkthrough has started, we refund the deposit in full. If we cancel because of a conflict we did not disclose, or because we cannot staff the window we promised, we refund any fees already paid for that engagement in full.
When a partial refund applies
If you cancel after access has been granted or after walkthroughs have started, we keep a portion that reflects time already spent: scoping, walkthrough hours, and writing already in draft. The remainder of the deposit, if any, is returned. If time spent already exceeds the deposit, we invoice the difference up to the quoted fee; we do not add a penalty on top.
Non-refundable items
Close-out briefings that have already been held are not refundable. A verification pass that has already been walked is not refundable. Third-party costs you asked us to incur — for example a meeting room booked in your name, or a licensed extract you instructed us to purchase — are not refundable once spent. We will not invent software licences or shipping as extra categories; we only pass through costs you approved in the scope.
Work already started
Screenshots, draft registers, and unused hours do not become a product you can take if you cancel mid-review, unless we agree in writing to hand over the draft as-is. If we do hand it over, it is marked incomplete and is not a finished pack.
Rescheduling
You may move a booked walkthrough window once, with at least three working days’ notice, at no charge. A second move, or a move with less notice, may shift delivery and may be billed as a half-day if a reviewer had already been held. We will say so before we agree the new date.
No-shows
If a close-out or a scoping call you requested does not go ahead because your side does not attend, and you had not cancelled, we treat that hour as used. We will offer one replacement slot in the following ten working days. A second no-show is billed as used time and is not refunded.
Deposits
Deposits hold a start window, not a calendar month of unlimited advice. If you do not provide access within thirty days of paying the deposit, we may close the engagement and refund the deposit minus any scoping time already used, unless we both agree a later window in writing.

How money comes back
Approved refunds are paid to the same Malaysian bank account that paid the invoice, unless you give written instructions for another account in the commissioning organisation’s name. We do not refund to a personal account when the invoice was paid by a company. Processing is typically five to ten working days after we confirm the amount, depending on the bank.
Exceptions
If Malaysian law requires a different outcome for a particular client, that law wins. If a signed scope sets a different deposit or cancellation rule for that engagement, the scope wins for that engagement only.
